HOW-TO STEPS
1. Clicking on the Payments Tab will show for sub-tabs for the Payments system.
2. The Ready to Send tab will give you a list of all the RO's and their status to which you are assigned.
3. You can see by Status the RO's that are Sent, RO's that are ready for sending, the RO's that are "Pending Invoice File," and any closed RO's.
4. An RO in Ready to Send status means that it is in the queue to get sent out as an automatic payment request. If automatic payment requests are turned on, that payment request will go out within the pre-determined amount of time. If it's not, you can simply send the payment request by clicking on the Send button on the far right.
5. This will open the payment request tab and allow you to send that payment request based on the information that you see here.
6. RO's that indicate Pending Invoice File have not been invoiced in the DMS, or they are waiting for that invoice to push through. Sometimes, this can take up to fifteen minutes, depending on the connection of the DMS.
7. At the far left corner at the top, you can search by one of three separate criteria:
a. You can enter the RO Number
b. The least four digits of a credit card number, preceded by an "X"
c. Or by entering a payment amount preceded by a dollar sign.
8. You can also filter by date, if you're looking for older invoices.
9. And, you can filter by status, including paid, paid online, partially paid, and so on.
10. Finally, in the Payments section, you can see that you're able to
text,
email,
or call a customer.
And, if you have retail payments, you can simply click on Pay Now to move the RO over to the Pay Now screen.
