Use this guide to prepare a user for Video Walkaround and Technician Inspection work, then troubleshoot missing tabs, missing technicians, and assignment problems.
Overview
Video Walkaround access depends on more than an active login. The user must have the correct dealership location, department, role, feature access, and inspection-taker assignment for the work they need to perform.
Viewing an inspection and performing or assigning an inspection are separate capabilities. A user may be able to see a workflow without being able to record, self-assign, reassign, or appear in a technician list.
Before you start
You need dealership administrator or manager access to review user and inspection settings. Confirm that the user has:
- Accepted the account invitation
- An active myKaarma account with a valid email address
- The correct dealership location and department
- The correct role and Dealer Management System (DMS) identifier
- Access to the required workflow: Customer Walkaround, Loaner Walkaround, or Technician Inspection
Important: myKaarma Support cannot create dealership user accounts. An authorized dealership administrator must add and manage users.
Troubleshooting Steps
1. Verify the user account
- Open Settings » Users » Manage Users.
- Search for the user.
- Confirm the account is active and the invitation was accepted.
- Open the user record and verify the user information, dealership location, department, role, and DMS identifier.
- Save any supported changes.
2. Confirm the required feature access
- Identify the workflow the user needs access to: Customer Walkaround, Loaner Walkaround, or Technician Inspection.
- Navigate to Settings » Users » Manage Users » User Settings and review the user’s current feature access.
- For Customer Walkaround access, enable “View customer walkaround sub tab under Inspect tab” checkbox.
- For Loaner Walkaround access, enable “View loaner walkaround sub tab under Inspect tab” checkbox.
- For Technician Inspection access, enable “View Technician Inspections sub tab under Inspect tab” checkbox.
- Confirm that the user also has permission to perform the required actions, rather than only having view access.
- Save the changes and have the user refresh or log back in to confirm access.
3. Confirm inspection-taker and assignment access
- Navigate to ServiceCart » Inspection Types » User Permissions.
- Determine the level of access the user needs:
- Inspection Taken By: Allows the user to perform/take the inspection.
- View Access Only: Allows the user to see the inspection tab without performing the inspection.
- Search for the appropriate users by Group, Role, or Name.
- Please note: Searching by Group or Role will enable access for the entire department by default. If you only want specific users to have access, click the toggle off button and manually select the appropriate users.
- Confirm that the user is included in the appropriate inspection-taker or assignment list.
- Save the changes and refresh the page to confirm the updated permissions.
The user should now appear in the relevant inspection-taker or technician list when the account, location, and inspection-type access all match.
4. Refresh the user's session
- Ask the user to sign out and sign back into myKaarma
- Open the expected Video, Inspect, or Loaner workflow and confirm the tab and assignment options appear.
Troubleshooting
| Symptom | What to check |

| The Video, Inspect, or Loaner tab is missing | Confirm the account is active and assigned to the correct location, department, role, and feature. |
| The tab is blank or controls are unavailable | Refresh the browser or restart the app, sign in again, and verify that the user's location and feature access match the selected dealership. |
| The user sees “VWA not supported” | Ask an authorized dealership administrator to review the account and workflow access. If the configuration is correct, contact Support because some device or organization setups require authorized assistance. |
| A technician is missing from the assignment list | Confirm the technician has an active account, the correct location and DMS identity, and inspection-taker access for the selected inspection type. |
| The user cannot self-assign or reassign work | Ask an administrator to review the separate assignment authority for that user. |
| An organization-managed account cannot be changed locally | Follow your organization's approved IT or administrator process rather than treating the issue as a device failure. |
