Forgot your myKaarma password, can't remember your username, or having trouble signing in? This guide explains how to recover access to your account, troubleshoot password reset emails, and get help with locked accounts, multi-factor authentication (MFA), and single sign-on (SSO).
Before You Begin
The correct recovery steps depend on how your dealership signs in to myKaarma.
| Sign-in situation | Recommended action |
|---|---|
| Forgot your myKaarma password | Use Reset Password on the myKaarma login page. |
| Forgot your username | Ask an authorized dealership administrator to confirm your account information. |
| Account is inactive or invitation expired | Ask an administrator to resend your account invitation. |
| Account is locked or sign-in attempts are rejected | Follow any on-screen recovery instructions or contact your administrator or myKaarma Support. |
| Corporate SSO sign-in fails | Contact your organization's IT department. |
| MFA verification code isn't working | Request a new code or use another available verification method. |
Important: Resetting a password will not reactivate a deactivated account, repair a corporate SSO configuration, or resolve every MFA issue.
1. Recover Your Username
If you've forgotten which username to use:
- Contact your dealership manager or an authorized myKaarma administrator.
- Ask them to open Settings → Users → Manage Users.
- Have them search for your account using your name or registered email address.
- Ask them to verify the account's username or email information and confirm that the account is active.
- Sign in using the verified account information.
If your account doesn't appear, the administrator should check the available filters, including inactive users.
Tip: Your myKaarma account is associated with a registered email address. However, don't assume your username and email address are interchangeable. Confirm the correct sign-in identifier with your administrator.
If you've previously used myKaarma at another dealership within your organization, ask the administrator to check for an existing account rather than creating a duplicate.
2. Reset Your myKaarma Password
If you use a myKaarma password rather than a corporate SSO, you can request a password reset.
- Open the myKaarma Login page.
- Enter your username.
- Select Reset Password.
- Check the email inbox associated with your account.
- Open the password reset email and select the reset link.
- Enter a new password that meets the requirements displayed on the reset page.
- Complete the reset and sign in with your new password.
If myKaarma requires MFA after you enter your new password, complete the verification step to finish signing in.
Important reminders:
- Use the newest password reset email you've received.
- If the reset link is expired, invalid, or has already been used, request another reset.
- Avoid repeatedly requesting reset emails, as older messages may arrive after newer ones.
- Do not share your password or reset link with anyone.
If you still cannot sign in after resetting your password, ask your dealership administrator to verify your account status.
3. Have a Dealership Administrator Send a Password Reset
Authorized managers, directors, or administrators with user-management permissions can help initiate a password reset.
Administrator Instructions
- Sign in to myKaarma.
- Navigate to Settings → Users → Manage Users.
- Search for the affected employee.
- Select the employee's name to open their user record.
- Select Reset Password.
- Confirm that the following message appears: Reset password email sent successfully.
- Ask the employee to check their registered email address and complete the reset.
If the Reset Password option is unavailable, verify the account's status, your administrative permissions, and whether the employee uses corporate SSO.
For security purposes, the employee should create their own password using the reset email.
4. What to Do if Your Password Reset Email Doesn't Arrive
If you've requested a password reset but haven't received the message, try the following.
Check Your Email Folders
Look in your:
- Inbox
- Spam or Junk folder
- All Mail
- Quarantine folder, if your organization uses email security software
Search for messages from myKaarma or the sender indicated by your dealership's IT team.
Verify Your Registered Email Address
Ask an authorized dealership administrator to:
- Open Settings → Users → Manage Users.
- Select your user account.
- Review the email address in User Information.
- Correct the address when authorized and supported.
- Save the changes before attempting the appropriate recovery action again.
Make sure the email account is active and accessible.
Check Email Security Settings
If the address is correct but messages are not arriving, ask your dealership's IT department to:
- Check spam filtering and quarantine logs.
- Review blocked senders and mail-routing rules.
- Confirm that legitimate messages from myKaarma are permitted.
- Investigate rejected messages or mailbox delivery failures.
If the Email Still Doesn't Arrive
Contact myKaarma Support when the reset email continues to fail after the registered address and email filtering have been checked.
Include the approximate time of the request and whether the email is missing, delayed, or rejected.
5. Unlock or Recover a Locked Account
If you're receiving an account-locked message or repeated authentication errors:
- Stop attempting to sign in repeatedly.
- Read the exact error displayed on the sign-in screen.
- Follow any waiting period or recovery instructions shown.
- If you're using a standard myKaarma password and the reset option is available, request a password reset.
- If your account remains locked, contact your dealership administrator or myKaarma Support.
Your administrator should confirm whether your account is active and whether the issue is related to a password, an MFA lockout, or corporate SSO.
Note: Account lockouts can have different causes. Do not assume that resetting your password will automatically remove every authentication lock.
6. Recover an Inactive or Not-Yet-Activated Account
If your myKaarma account was deactivated, or you never completed the original invitation, you may need an account invitation rather than a password reset.
An authorized administrator can:
- Go to Settings → Users → Manage Users.
- Search for your existing account.
- Check the account status and registered email address.
- If necessary, open the user record and correct the supported account details.
- Save the changes.
- Use the available Resend or Resend Invitation action to send a new activation email.
- Ask the employee to open the newest invitation and complete the account setup.
The employee should then sign in using the approved authentication method.
Important: Do not create a duplicate account or deactivate an active user solely to troubleshoot a login issue. Existing accounts should be reviewed and recovered using the appropriate workflow.
If an invitation was sent to an email address that did not yet exist or was inactive, myKaarma Support may need to assist after the mailbox problem has been corrected.
7. Troubleshoot Multi-Factor Authentication (MFA)
myKaarma supports additional sign-in verification methods, including email, text message, and authenticator apps, depending on your account configuration.
If You're Not Receiving an MFA Code
- Confirm that you're checking the registered email address or mobile number.
- Wait approximately 30–60 seconds before requesting another code.
- Check your spam, junk, or quarantine folders for email codes.
- Request a new code if needed.
- Enter the newest code before it expires.
For myKaarma email and text MFA, verification codes are generally six digits and expire after 5 minutes.
For email MFA, look for messages from accounts@mykaarma.com. Replies to this address are not monitored.
If Your Authenticator App Is Unavailable
If the sign-in screen offers Try Another Method, select an available alternative, such as email or text verification.
If you cannot use any configured verification method, contact your dealership administrator.
Use a Temporary Backup Code
An authorized administrator may be able to provide a temporary backup code.
Administrator steps:
- Go to Settings → Users → Manage Users.
- Select the affected employee.
- Locate Multifactor Authenticator.
- Retrieve an available Temporary Backup Code.
- If needed, select Generate Code to create a new set.
Temporary backup codes are specific to each user and can be used only once. They must be handled securely.
Never include an active verification or backup code in a support ticket.
8. Troubleshoot Corporate Single Sign-On (SSO)
Some dealerships use corporate SSO through an identity provider, such as Microsoft, Okta, or Duo.
If you're redirected to a corporate-branded sign-in page, your login may be controlled by your organization's IT department rather than a local myKaarma password.
Common SSO Issues
These include:
- An incorrect corporate email or username
- A disabled corporate account
- Missing access to the myKaarma enterprise application
- Device registration or browser security requirements
- Organization-specific authentication policies
What to Do
- Confirm that you're signing in using the correct corporate account.
- Record the exact error message and where it appears.
- Contact your corporate IT or identity-management team.
- Ask them to confirm that your account is active and assigned to the myKaarma application.
- Have your dealership administrator verify that the email address associated with your myKaarma account matches the intended corporate identity.
- Retry after IT confirms the issue has been corrected.
If corporate authentication succeeds but myKaarma still rejects your account, contact myKaarma Support.
Important: A local myKaarma password reset does not change your corporate SSO password or resolve identity-provider permissions.
9. If You Can Sign In On One Device but Not Another
If myKaarma works on one browser or computer but fails elsewhere:
- Close and reopen the affected browser or application.
- Confirm you're using the correct sign-in method.
- Try signing in again.
- If your organization uses SSO, confirm the device meets corporate registration and access requirements.
- If the problem continues, record the browser, device, or application involved and contact the appropriate support team.
For corporate SSO restrictions, start with your organization's IT department.
If multiple employees are suddenly unable to sign in, check the myKaarma Status Page for a relevant service incident before repeatedly resetting passwords.
10. Contact myKaarma Support
Contact myKaarma Support when:
- You cannot complete a password reset.
- The newest reset link fails.
- Reset or activation emails continue to be rejected or do not arrive.
- An authorized administrator cannot recover or reactivate the account.
- Your account remains locked without an available recovery method.
- All available MFA recovery methods fail.
- Corporate SSO succeeds, but myKaarma still denies access.
