Overview
Previously, parts department users had to manually retrieve parts invoices from the DMS, typing in invoice numbers and amounts, downloading files, and attaching them to customer payment requests. This process was time-consuming and prone to errors.
With MyKaarma’s new Parts Integration, this workflow is fully automated. Parts invoices are now automatically integrated from the DMS, eliminating manual data entry and making it easier to send accurate invoices directly to customers. This improvement benefits both wholesale and retail parts customers, providing a smoother, faster payment experience.

How It Works

Automatic DMS Sync:
MyKaarma retrieves parts invoice files directly from your DMS. -
Invoice Review:
Users can navigate to Payments > Order Status to view a list of all parts invoices. -
Filtering Options:
Filter invoices by date, invoice status, or paid status for easier tracking. -
Send Payment Requests:
Service advisors or parts representatives can recall and preview invoices before sending a payment request to customers — for both in-lane and online payments. -
Closing Report Access:
Authorized personnel can recall Closing Reports for the current or any past day to review daily transactions.

Parts tracking and invoicing are now integrated with MyKaarma, with the ability to pull invoice files from the DMS, track status, and allow customers to review and pay their invoices.
Under the Payments tab, users can choose the Order Status subtab (previously called Ready to Send) to view a list of all parts orders, which can be filtered by date, invoice status, or payment status. Service Advisors or Parts Representatives can recall and preview the parts invoice before sending a payment request to the customer for in-lane or online payment.
Authorized personnel can also recall a Closing Report for the current or past day.
