Use this guide to find a closed Repair Order (RO), reopen or manually close its ServiceCart inspection, review auto-close settings, and decide when a status mismatch needs additional help.
Overview
A Repair Order (RO) can appear in different places depending on its ServiceCart status and the filters applied to the Inspect or Route Sheet view.
| Status | What it means for your work |
|---|---|
| Open | The inspection remains available in active work views. |
| Vehicle Complete | The vehicle has reached the Vehicle Complete workflow status, but the inspection may still need to be closed. |
| Closed | The inspection no longer appears in active views. Use the Closed filter or search bar to locate it. |
| Auto-closed | ServiceCart closed the inspection according to the auto-close setting for its inspection type. |
Important: Closing an inspection in ServiceCart does not always mean the RO is closed in your Dealer Management System (DMS). Check both systems before changing a status.
Before you start
- You need authority to reopen or close inspections. If the action is unavailable, contact your manager or Business Administrator.
- Confirm whether the RO should be open or closed in your DMS before changing its status in myKaarma.
- Only an authorized administrator should change dealership-wide auto-close settings.
Reopen a closed inspection
- Open the Inspect or Route Sheet view.
- Apply the Closed filter, or search for the RO.
- Open the RO.
- Open the action menu in the lower-right corner where statuses get changed.
- Select Re-open Inspection, which should be the top option on the list.
- Refresh the view and confirm that the inspection appears in the appropriate active status.
If Re-open Inspection is not available, ask your manager or Business Administrator to complete the action.
Manually close an inspection in Vehicle Complete
- Open the RO that remains in Vehicle Complete.
- Open the action menu in the lower-right corner.
- Select Set Status to Closed, which should be the top option on the list.
- Confirm that the inspection no longer appears in the active view and can be found with the Closed filter.
Review the auto-close setting
Auto-close timing is configured by inspection type and can differ by dealership.
- Go to Settings » ServiceCart » Inspection Types.
- Open the inspection type you want to review, such as Customer MPI.
- Open 6. Other Settings.
- Review the Autoclose value.
- Change the configured number of days only when your dealership has approved the new timing.
- Save the change.
Important: A shorter auto-close period can remove inspections from active views sooner. Review the operational impact before changing this setting. Leaving this field empty or inputting the number 0 will turn off Autoclose
Check the RO in the DMS
- Locate the same RO in your DMS.
- Confirm whether it is open or closed there.
- If the RO must remain open, use your dealership's normal DMS process to reopen it when required.
- Return to ServiceCart and refresh the inspection.
- Compare the status in both systems again.
Contact myKaarma Support when the RO remains in the wrong ServiceCart status after the DMS status is correct and ServiceCart has been refreshed.

Troubleshooting
The RO disappeared from an active view
Apply the Closed filter or search for the RO. If it is closed, review the auto-close configuration and reopen it when appropriate.
The RO closes again
Ask a Business Administrator to review the inspection type's auto-close timing and confirm that the DMS status matches the intended RO state.
The status does not change after refresh
Confirm the RO status in the DMS. If both systems should match but do not, collect the RO number and screenshots before contacting myKaarma Support.
